City Hall Gets New Software

Online bill pay customers must update account numbers

WAITSBURG – Waitsburg residents probably noticed that their utility bills looked a bit different this month. That’s because the city recently upgraded its antiquated software to a more modern program, and is in the process of completing the conversion from old to new.

The change will affect residents in a couple of ways. First, the new system assigned all new account numbers. This change only affects residents who use online bill pay, through their banks, to pay their utility bills.

“It’s very important that people go into their bank’s bill pay setup and change the old account ID to the new ID number, which is printed on the front of the bill,” said Deputy Clerk Kelly Steinhoff.

The new software will also allow residents to pay their bills with a credit or debit card directly through Vision Software’s Invoice Cloud system, though there will be a small fee to use the service. That option is expected to become available in February, barring any complications.

The city decided to move to the new system after learning they would soon lose technical support for their previous software. In addition to improved support and the online payment option, the new software posts transactions in real time, unlike the old software.

“We realized we’d better convert now so that we could take the time to make a smooth transition instead of being forced to do it on an emergency basis,” Steinhoff said.

Waitsburg’s city council approved the new software purchase in October and City Hall has been slowly converting to the new system, with December being the first billing cycle using the new software.
